Board Positions

The Inglewood Community Association is run by a volunteer, elected Board of Directors, supported by committees and paid staff members. 

Elections are typically held in September in conjunction with the Annual General Meeting. If you’re interested in getting involved on the Board, please email info@icacalgary.com or call or 403-264-3835.

Executive

President

  • Ensure Board compliance with bylaws and policies

  • Preside at Board and General Meetings, making sure that they run smoothly

  • Prepare and present required reports at board meetings

  • Serve as an ex-officio member of Committees and attends their meetings when needed

  • Help ensure Board Committees are properly served by Board members, other community members, and staff

  • Help ensure Board members are oriented, trained, evaluated and recognized for their contributions

  • Help ensure Board members have the information they need to make informed decisions

  • Coordinate the planning of the Board's activities for the year ahead and plans for the Association's future

  • Act as one of the signing officers for cheques and other documents, such as contracts, grant applications and meeting minutes

  • Participate in the recruiting, hiring, monitoring and release of any paid employees in consultation with other executive officers

  • Submit articles to the newsletter, as required

Vice President

  • Ensure Board compliance with bylaws and policies

  • Act as leader in the absence of the President

  • Chair Board and General Meetings in absence of the President

  • Help ensure Board members are oriented, trained, evaluated and recognized for their contributions

  • Help ensure Board members have the information they need to make informed decisions

  • Help coordinate the planning of the Board's activities for the year ahead and plans for the Association's future

  • Act as one of the signing officers for cheques and other documents, such as contracts, grant applications and meeting minutes

  • Oversee special projects and duties by interest or assignment​

Treasurer

  • Maintains and reports a record of the financial state of the ICA to the Board and General membership on a monthly basis from the records and bookkeeper of the ICA

  • Presents ICA Annual Financial Statements to the Board for approval and to the general membership at AGM

  • Be assured that reports properly reflect the operating results and financial condition of the Association

  • Ensures development and board review of financial policies and procedures

  • Act as one of the signing officers, with another officer, for cheques and other documents, such as contracts, grant applications and meeting minutes.

  • Periodically review entries made by the Bookkeeper for oversight, including the disbursement of Association funds, cheques and drafts issued in the name of the Association

  • Chair quarterly Financial Sub-Committee meetings

  • Together with the Financial Sub-Committee, appoint independent auditors subject to approval by members.​

Secretary

  • Compile the Agenda and prints previous Minutes for the monthly Board and General Meetings

  • Take minutes at monthly Board and General Meetings and distribute them within 7 days of the meeting

  • Remind Board Members of upcoming meetings; solicit agenda items

  • Maintain Board contact list and meeting calendar

  • Sign ICA cheques in the absence of President or Treasurer

  • Organize ICA Meetings and AGM

Directors

Membership Director

  • Work closely with the ICA Office to sell and track ICA memberships; help reconcile payments

  • With the ICA General Manager to help maintain and update the membership database, membership forms and other documents

  • Recruit and coordinate volunteers to help with data entry, sales, renewals and membership drives, as necessary

  • Ensure that a table is set up and manned at all monthly General Meetings and ICA events for membership sales

  • Support expanding membership through highlighting the benefits of membership​

Communications Director

  • Work closely with the ICA Office and the Board to coordinate public communications for the ICA, ensuring information is communicated accurately and in a timely manner using appropriate methods (e.g. electronic, printed, etc.)

  • Act as Chair of the Communications Sub-Committee, consisting of Webmaster, Social Media Coordinator, Copy Editor, Newsletter Editor, Newsletter Layout, Advertising Manager and Newsletter Distribution team. Schedule meetings as required

  • Oversee the Communications budget for website, volunteer appreciation, and other materials such as event banners, posters, signage, etc.

  • Newsletter Director

  • Work closely with the ICA Office and the Board to coordinate public communications for the ICA, ensuring information is communicated accurately and in a timely manner using appropriate methods (e.g. electronic, printed, etc.)

  • Work with Advertising and Merchant Discount Volunteers to coordinate activities

  • Oversee the newsletter production costs & advertising revenue, and distribution

Fundraising Director

  • Help organize the ICA Casinos (every 20 months) and coordinate with the ICA Bingo Manager as needed (twice monthly Bingos)

  • File all applications to AGLC on time and submit financial records for the AGLC annual audits to account for all gaming funds used by ICA, with the help of the ICA Office

  • Report to the Board on all Gaming income and issues

  • Research grant opportunities and assist with grant applications and tracking of grant funding

  • Coordinate and track donation requests on behalf of the ICA and ensures that donors and sponsors are acknowledged

​Inner City Planning and Heritage Director

  • Oversee the development and production of the Community’s vision for itself, and the Inner City with regards to maintaining Heritage

  • Communicate and coordinate with the ICA Redevelopment and heritage Committees, Inglewood BIA, City Planners and other stakeholders on issues related to planning

  • Recruit volunteers to the planning sub-committee

  • Organize opportunities for public engagement and input​

Sports Director 

  • Organize, coordinate and gather information about recreational opportunities for children and adults in the community

  • Coordinate other sports initiatives, recruiting volunteer leaders for each one, as needed

  • Submit information, articles and photos to the newsletter regarding ICA sport and recreation activities, as required

  • Act as liaison between the ICA Rink volunteers and the Board; ensure that ice time is reserved and advertised for community use

​Environment Director

  • Report on environmental issues affecting Inglewood (e.g. river and river edge issues, protection and preservation of green space, , flood mitigation, waste management, pollution, etc.)

  • Attend workshops and meetings on behalf of the ICA and liaises with provincial, municipal and community environment groups

  • Act as point of contact for residents with concerns about environmental issues affecting their quality of life in the neighbourhood​

Director-at-Large

  • Act as a point of contact between ICA and Inglewood residents

  • Participate on board Committees and initiatives, as required

  • Undertake special projects, as required

  • Submit articles to the newsletter, as required

Planning Chair

  • Chair monthly meetings of the Redevelopment Committee (RDC), which oversees the ICA's response to development and subdivision applications for the Inglewood area, as well as advocating on development issues

  • Receive all communications (Subdivisions, Development Permits) from the City Planning Department and informal contacts from developers

  • Advise development applicants of RDC meeting dates and extend invitations to attend.

  • Draft and distribute meeting agendas, including notes on items of interest or concern to the Committee. Circulate to RDC members in advance of the monthly RDC meeting (the first Wednesday of each month)

  • Attend monthly ICA General Meetings and present a summary of all items reviewed by the Committee and approved RDC motions. Draft motions (of unqualified support, support with caveats or dissent) for presentation to ICA Members

  • Communicate any formal decisions/motions passed at the GM to the file contact at the City Planning Department and relevant stakeholders (applicant, Councillor, etc.) the day following the GM, along with comments as required

  • Submit an annual budget for RDC requirements, including a general budget for SDAB appeals

  • Submit a summary of all agenda items and motions made for the ICA newsletter

Volunteer Coordinator

  • Assist in the recruiting and orientation of new volunteers

  • Maintain an active list of ICA volunteers and their areas of interest

  • Work with ICA Staff and Board members and Sub-Committees to determine volunteer requirements.

  • Help plan Volunteer Appreciation events to acknowledge volunteer support​

 

ICA Liaison Roles

 

  • The ICA is committed to collaborating with many other groups and organizations that Inglewood Business Improvement Area (BIA), the Garden Path Society, the Colonel Walker School, the Inglewood Wildlands Development Society and the Calgary Airport. The Liaisons report to the Board or at General Meetings as needed​
